INFORMATION ON THE TERMS AND PROCEDURES FOR INTERNAL REPORTING OF SIGNALS IN NOVA TRADE EOOD

This information is provided in accordance with Article 12, paragraph 4 of the Law on the Protection of Persons Reporting Violations or Publicly Disclosing Information about Violations (LPPOVIV).
Who has the right to submit reports?
Individuals who have received information about violations in a work context and are:

  • current or former workers and employees, as well as those who have worked under other types of contracts;
  • persons working under civil contracts;
  • persons engaged in liberal professions or craft activities;
  • volunteers and interns;
  • sole owner of the capital, member of the management or supervisory body of the company;

  • job applicants or participants in competitions for a specific position whose legal relationship is about to commence;
  • persons, who are about to conclude a contract for some kind of service and a9> service and the information regarding the violations was received at the time of the a17> the pre-contractual relationship.

Important! Anonymous reports will NOT be considered.
For violations of Bulgarian and European legislation in various areas, including:

  • public procurement;
  • public health;
  • transport safety;
  • consumer protection;
  • the protection of privacy and personal data;
  • the security of networks and information systems;
  • нарушения, свързани с трансгранични данъчни схеми;
  • a crime of a general nature;
  • labor legislation;
  • legislation related to the performance of public service;
  • rules for payment of due public state and municipal receivables and others. areas, specified in ZZLPSPOIN.

Important! Reports of violations that do not fall within the scope of the ZZLPSPOIN are not considered.
You can submit a written report by filling out a standard form in one of the following ways:

  • personally, to our employee, responsible for signals or at tel.: 088 5505424;
  • electronically by sending it to the following email address: whistleblowing@novatrade.com;
  • by post or courier service – to the address of NOVA TRADE EOOD in the town of Saedinenie, ul. Shipka No. 3, with the responsible person explicitly indicated as the addressee of the postal/courier shipment, or with text written on the postal envelope/courier shipment indicating that it contains a report under the ZZLPSPOIN.

Important! Reports must be signed by the persons submitting them. When submitted electronically, the form must be signed with a qualified electronic signature. Important! The form is NOT mandatory, but is for your convenience and contains the mandatory information that you must fill in. If your report does not meet any of the legal requirements, our employee responsible for reports will send you a message to correct the irregularities within 7 days of receiving the report. If the irregularities are not corrected within this period, the report and its attachments will be returned to you. It is advisable to attach all written evidence you have. You can also name persons who could confirm the reported data or provide additional information. You may submit an oral report in one of the following ways: from the following ways:
  • on the phone of our employee, responsible for signals -088 5505424;
  • at a personal meeting with our employee responsible for signals, which you have arranged in advance on the specified telephone number.
In such cases, our employee responsible for handling reports will fill in the details in the standard form and give you the opportunity to check, correct, and agree with the text of the conversation in writing, as well as with the content of the form by signing it.
  • We will confirm receipt within 7 days and register it with a unique identification number. If the report does not meet the requirements of the law, we will notify you to correct the irregularity within 7 days.
  • There will be an investigation carried out into the report made by a person, who is not in conflict of interests.
  • Within three months of confirming receipt of the report, we will provide you with feedback on the results of the investigation and the actions taken.
  • Persons who are entitled to report concerns, as well as persons associated with them (e.g., colleagues and relatives), are protected against unjustified disclosure of their identity, except in cases permitted by law.
  • It is prohibited to take retaliatory measures against protected persons, namely: temporary suspension from work, dismissal, demotion, negative performance evaluation, imposition of financial and disciplinary liability, physical and verbal coercion, threats, hostility and violation of their dignity, discrimination, etc.

  • The signal for violation is submitted under the conditions and in accordance with the procedure of ZZLPSPOIN. Important! Persons named in the report as offenders are entitled to compensation for all pecuniary and non-pecuniary damages when it is established that the reporting person has knowingly submitted a report containing false information.
The Personal Data Protection Commission is the central authority for external reporting. You can submit your report directly to it in one of the following ways:

    • in writing: - by email whistleblowing@cpdp.bg - by post to the following address: Sofia 1592, Prof. Tsvetan Lazarov Blvd. No. 2 - via the Secure Electronic Delivery System • verbally – on site at the CPDP at the following address: Sofia 1592, Prof. Tsvetan Lazarov Blvd. No. 2
You can use the sample Form for registering a report for submitting information about violations, published on the website of the CPDP. The form is not mandatory. However, if you decide to use it, you must complete only Parts I to V inclusive and sign it: when sending the form by post – with a handwritten signature; when sending it by email – with a qualified electronic signature. If you use the Secure Electronic Delivery System, the CPDP employee responsible for reviewing the report will contact you to fill out a Form for registering a report for submitting information about violations under the ZZLPSPOIN.
